BusinessObjects Intercompany User Guide 119 6 Defining the database structure Email Addressees of detailed emails The administrator specifies which types of user can receive detailed emails. When you create a user that belongs to a user type selected in the previous step, the administrator specifies whether or not this user will receive detailed emails. Users defined as recipients for detailed emails can choose not to receive them once logged in. To find out more, see "To start or stop receiving detailed emails" on page 190. To select users that will receive detailed emails In the Administration tab, select System > Global Parameters. In the Can receive detailed emails column, select the required user types. Note: If this option is grayed out, the user type was not selected in step 3. Note: The Priority pull-down menu enables you to indicate how important it is that the user should receive detailed emails (1 = highest order of importance). To send detailed emails automatically and define their content In the Administration tab, select System > States. In the Email Message Line 1 and Email Message Line 2 data entry boxes, the default text that will appear in the emails appears. Check the Send Email Notification box to send the emails automatically. To stop emails being sent automatically for a state In the Administration tab, select System > States. Uncheck the Send Email Notification box, to stop sending the emails automatically. Note: As a result, the current state information will not be included in the summary emails. Defining automatic summary emails Summary emails present the information from the detailed emails in a condensed form. It lists the state changes that have occurred since the last summary email was sent. Note: If the administrator has not checked the Send Email Notification box for a state, the state information will not be included in the summary emails. To find out more about detailed emails, see "Sending detailed emails based on states" on page 119. During the reconciliation process, the administrator can send several summary emails per day.
